Rental Application Privacy Notice

Purpose
KDK Interests LLC collects rental application information only to evaluate eligibility, verify identity and income, contact references, and conduct authorized tenant screening.
Information collected
The application may include identity and contact information, Social Security number, date of birth, address and rental history, employment and income information, references, emergency contacts, vehicle information, screening authorization, and typed electronic signature.
How it is protected
Applications are transmitted over HTTPS, encrypted before database storage with a separate application key, and reviewed only through a portal protected by Cloudflare Access with a named-user allowlist and one-time email verification. Application contents and Social Security numbers are not included in notification email.
Service providers
Cloudflare provides website delivery, bot verification, access control, encrypted database infrastructure, and serverless processing. Approved screening providers may receive information only when needed to perform an applicant-authorized screening.
Retention
Online application records are scheduled for automatic deletion 90 days after submission unless a longer period is required for an active tenancy, dispute, legal obligation, or documented business requirement. Records should be deleted earlier when no longer needed.
Sharing
Application data is not sold or used for marketing. It is disclosed only to authorized KDK Interests reviewers, approved screening or verification providers, and others when required by law.
